Coming up, we have some exciting goals to accomplish across the company and within the Operations team.  All of 2019 is about building a “line of sight” throughout the organization from the newest hire all the way to the Managing Director.  As part of this team you’ll help build scorecards, metrics, forecasts and budgets to monitor and anticipate the health of projects and the whole organization so we can adjust our plans more quickly to seize opportunity and minimize risk.  We have some audacious goals around schedule variance, our cost performance index and customer satisfaction that you’ll help us achieve.  We will also be systematically reviewing, updating or building core processes across the organization, and particularly in Operations.

 

You can expect us, and should hold us accountable to, continuously improve our communication with all people in the organization.  Expect to have growing clarity about all aspects of our business, right down to the financial statements.  Decisions should be made closest to the opportunity or challenge and should have the input of all stakeholders. THE ROLE

The role of Project Coordinator (Mechanical) is new to our Yellowknife office.  Our mechanical and plumbing division will benefit from the resources and support of this Project Coordinator position and we are looking for a candidate who is interested in rolling up their sleeves to help us further strengthen this work.  Our successful candidate will fulfill the following accountabilities and responsibilities:

 

Procurement & Scheduling

  • Schedule and coordinate project activities including resources, equipment and labour, and conduct site visits as necessary to ensure the project is on-track;
  • Oversee procurement of materials and equipment for each project in accordance with the approved budget, requirements and schedule;
  • Develop and adjust detailed schedules, action items and timeframes to support the overall project schedule;
  • Liaise with clients to refine project requirements, scope, objectives and satisfaction;
  • Monitor and report on projects’ progress and make recommendations to the Project Manager to help identify and mitigate risk, maximize opportunities and continuously improve our operations in accordance with our Vision, Mission, Passion and Core Values.

 

Project Financial Support

  • Support the Project Manager in developing and monitoring project budgets and forecasts;
  • As applicable, review, prepare and issue accurate and timely purchase orders, bills and invoices;
  • Monitor accounts receivable and follow up on past due accounts.

 

Document Control & Management

  • Prepare and issue accurate project paperwork as required such as contracts, change orders, work orders, purchase orders and similar;
  • Ensure all required documentation is received from other parties as applicable;
  • Support the Project Administration team in achieving accurate and timely project record keeping.

 

Support Site Supervisors

  • Frequently share and receive accurate and timely information with field leadership, project management, clients and other relevant stakeholders;
  • Support field leadership in responding to emerging issues;
  • Schedule and attend meetings and site visits as needed to accomplish the project’s outcomes;
  • Document and follow up or act upon actions and decisions from stakeholder meetings.

 

Reporting & Continuous Improvement

  • Analyze project risks and opportunities, and make recommendations to the Project Manager;
  • Monitor project progress, provide timely and accurate information to the Project Manager, and resolve issues as they arise;
  • Collaborate with the Project Manager to identify and resolve barriers to success, whether on a specific project or more broadly within our operations;
  • Support the development of line-of-sight throughout the organization to ensure nimble management of planning and productivity and enhance the profitability of the organization.

NEW BESTIE

Your new bestie is Matt Lowry, Project Manager (Mechanical).  Although you will be located at our Head Office in Yellowknife, NT, Matt works out of our office in Spruce Grove, AB.  Matt recently joined the Ryfan family and brings great bench strength to this team.  Matt has his journeyman certificates in plumbing and gas-fitting and spent several years on the tools mastering his craft.  From there he progressed to site supervisory positions, estimating and then project management.  Matt has been involved in a broad range of commercial, civil and light industrial projects ranging from $1M to $30M. 

 

You’ll also work closely with Emad Delavari, Director of Operations.  Emad has 15 years’ leadership experience in the oil, gas, pipeline, and petrochemical sectors in Canada, United States, Europe and Asia. Emad has used his PhD in strategic management, production and operations, his MBA, and his Prosci Change Management skills to lead programs at other organizations for a global ERP roll-out, to drive a 400% project sales increase from a $30M base (concurrently building the project delivery team), and to help a government department roll-out a large security-sensitive strategic initiative. Emad is responsible for helping Ryfan Transform MEP Construction, and he is already making great gains.

 

YOUR SQUAD

Your project squad is a nimble team of Project Managers, Project Administrators and Field Superintendents.  Your squad may change with each project based on each person’s skill set and the requirements of the project.  Although you are not dedicated exclusively to one team, we do try to create as much consistency as possible from project to project.  As Project Coordinator (Mechanical) you will primarily report to the Project Manager (Mechanical) and a dedicated squad focussed on supporting our growing mechanical and plumbing division.  There are no positions that report directly to you.

On a corporate level, we have restructured our organization to bring all our expertise under one company and one team, Ryfan Inc. Our ideal candidate possesses the following or comparable qualifications, experience and education:

  • A high school diploma is a minimum requirement;
  • Mechanical or plumbing Journeyman experience;
  • 3-5 years of experience as a mechanical Project Coordinator. Your background prepares you to be comfortable with building (commercial and institutional), industrial and mining construction;
  • Strong understanding of engineering contractors, suppliers and manufacturers;

THE ROLE

The role of Project Superintendent (Mechanical/Plumbing) is based in our Head Office in Yellowknife, NT.  If you do not currently reside in Yellowknife, Ryfan will pay for reasonable travel as well as accommodations at our various project sites located across Canada but particularly in northern Canada.  Preference is given to residents of the Northwest Territories and Alberta where our offices are located.

 

Over the last few months, we have redesigned our mechanical and plumbing division.  Previously, this work was conducted by our subsidiary, but we have recently pulled this work under the Ryfan Inc. brand to ensure high collaboration with all of our skilled trades and pursuit of common goals.  We have also refocussed on our work on light industrial, commercial and mining construction.

 

We want to continuously improve the work we do in this area, and our mechanical and plumbing teams will benefit from the experience, leadership, resources and support of this Project Superintendent.  We are looking for a candidate who is interested in rolling up their sleeves to help us further strengthen this work.  Our successful candidate will fulfill the following accountabilities and responsibilities:

 

Leadership, Management & Accountability Maintenance

 

  • Support and ensure the achievement of the squad’s 10, 3 and 1-year goals as well as quarterly Rocks and other goals;
  • Simplify, structure and systematize the work within your squad and amongst all Ryfan squads or departments;
  • Develop, coach and mentor your squad. This includes appropriately delegating tasks and responsibilities and then holding your squad accountable.  Occasionally, this means having timely “difficult” conversations when needed;
  • Effectively communicate with your team and engage them in their work and the organization as a whole;
  • Predict future needs and develop your team in advance to satisfy those emerging needs;
  • Be a cultural ambassador of the Ryfan Way and demonstrate our Core Values by your own behaviour;
  • Conduct end-of-project performance assessments for skilled trades assigned to your project;
  • Make recommendations to the Project Manager and Director of Operations regarding all aspects of your squad’s performance including recommendations on hiring, promotions, succession planning, professional development and formal discipline or conclusion of employment when necessary;
  • Support field teams in acquiring and maintaining all relevant training and certifications.

 

Technical Input, Planning & Take-offs

 

  • Invest time and resources in developing detailed execution plans, schedules and budgets along with our Technical Services team. Great planning leads to great results;
  • Design and implement checklists for inspections, quality control and standard operating procedures;
  • Make recommendations on materials and equipment and support the project squad in sourcing and ordering both;
  • Consult with clients, architects, engineers, general contractors and other stakeholders on plan revisions and change orders;
  • In collaboration with the Project Manager and other internal stakeholders, assemble a field team appropriate for the project and Ryfan’s best interests;

 

Timely Reporting on Project Status

 

  • Monitor project progress, provide timely and accurate information to the Project Manager, and resolve issues as they arise;
  • Conduct pre-shift and post-shift huddles with the field team to set daily goals and report results to the on-site and off-site project team;
  • Plan and forecast work to be completed and update stakeholders;
  • Prepare and submit daily field reports;
  • Ensure materials are received, inspected and verified as ordered. Collaborate with your project squad (ex. Project Coordinator) to remedy any issues;
  • Ensure the project is properly documented, including timely and accurate change orders;

 

Deliver Projects to Expectations

 

  • Create “win-win” scenarios for client satisfaction, stakeholder satisfaction (ex. general contractors or other trades) and Ryfan’s best interests;
  • Ensure delivery of high-quality projects that demonstrate value to the client;
  • Manage the day-to-day operations on-site including allocation of work and labour deployment;
  • Oversee labour and material cost controls;
  • Coordinate your on-site squad with other work or demands on site including but not limited to work by other trades, needs of the client or general contractor, etc.;
  • Assume overall responsibility for maintaining a clean, safe and productive project site;
  • Schedule and attend all relevant site inspections;
  • Communicate with clients and general contractors on-site, answer their questions or seek answers for them, ensure their expectations are understood and met, and update other members of your project squad.
  • Explain the safety program and project plan to your on-site team, and ensure compliance;
  • Explain quality control standards and expectations to your on-site team, and ensure compliance;
  • Conduct pre-closing walk throughs with clients and their representatives and coordinate completion of deficiency or punch list work;
  • Conduct regular inspections and coach field teams on continuous improvement of their skills and performance.

 

Ensure Continuous Improvement of Project Team

 

  • Analyze project risks and opportunities, and make recommendations to the Project Manager and other stakeholders;

COMPENSATION

The starting wage for this position is $44.00 per hour plus Living Out Allowance (LOA) as applicable to the project, less required deductions and withholdings.  This position is a 1.0 FTE.  Paid overtime or on-call work is often required.  

 

You will be eligible to participate in the Mercon Hourly Benefit Plan.   This position will be eligible to participate in our quarterly bonus program (target launch in 2020). 

 

This position may be subject to the following pre-employment conditions:

 

  • Criminal record check;
  • Drug & Alcohol Screening;
  • Fitness test; and
  • Driver’s abstract check.
